Help Center
Find the answer before the phone rings.
Start with the way your shop handles calls today. These guides cover setup, qualification, booking, and the custom receptionist we can shape around your exact needs.
Getting started
Choose a receptionist, connect your line, and prepare your shop rules.
Which receptionist should I start with?
Choose Sam if you only want the details from missed calls. Choose Riley if missed calls should also be qualified and booked. Choose Alex if you want LeadLatch to handle the calls you select from the moment they ring. If none of those boundaries fit, we can custom-build the receptionist around your shop.
Do I keep my current phone number?
Yes. Your existing number stays on your listings, van, and business cards. Conditional call forwarding sends the calls you choose to LeadLatch, and you can turn that forwarding off from your handset.
What information is needed for setup?
We set up the job types you take, your prices, service-area drive-time limit, business hours, technician availability, greeting, and the point where the receptionist must stop and hand control back to you.
Can I test it before changing my phone line?
Yes. You can call the receptionist directly and try real job questions, awkward addresses, interruptions, and jobs you do not offer before you forward any live calls.
Calls and qualification
What the receptionist asks, checks, and decides during a call.
Which calls will LeadLatch answer?
Sam and Riley are designed for calls you miss. Alex can handle the calls you want it to take, including the whole line. A custom receptionist can use a different boundary, such as after-hours calls or a specific call type.
How does it check a caller’s location?
It confirms the caller’s address, checks that the result points to a specific doorway, and then measures the real routed drive time from your shop. It does not approve a job from straight-line distance or a simple radius.
What happens outside my service area?
The receptionist follows the rule you set for that situation. It can decline politely, take the details for a callback, or follow another shop-specific instruction. It does not invent a price or promise an arrival time.
Can you build a custom receptionist for my shop?
Yes. We can combine a different call-coverage rule with the exact questions, limits, services, handoff point, and booking authority your shop needs. Tell us how your phone works now and where you want help.
Booking and follow-up
Availability, appointments, recordings, and what reaches you afterward.
Can it book a job while the caller is still on the line?
Yes. Riley and Alex can offer an available time from your configured schedule, hold the caller’s choice, and write the booking to the LeadLatch calendar before the call ends.
Where does appointment availability come from?
Availability comes from your shop hours, technician shifts, time off, and existing jobs. The voice model is given those available slots; it is not allowed to make one up.
What do I receive after a call?
Booked jobs and callback leads send the shop an email with the caller information, address, appointment details when present, and the reason a call was not booked. A summary email for every possible call outcome is not live yet.
Can I review what the receptionist said?
LeadLatch stores call records, recordings, and transcripts under the service’s retention rules. Shop-facing self-service review is not live yet; contact us if you need a specific call traced.
Account and pricing
Pricing ranges, changing your rules, and getting direct help.
How is pricing worked out?
Plans fall into ranges based on expected call minutes. The exact quote also depends on which calls you want handled and how much the receptionist should do, so we price the shop after a short conversation.
Can I change the receptionist later?
Yes. You can change the services, prices, hours, service-area limit, call coverage, and how far the receptionist is allowed to take a call. Moving from one starting point to another does not require a new phone number.
Do I need another field-service platform?
No. LeadLatch stands on its own. You keep your phone number and use the LeadLatch calendar without buying a separate field-service subscription first.
How do I get help?
Use the contact page and leave the best callback number. Someone who can change the setup and the product will call you back within one working day.
